Keytactic LLC (“Keytactic,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our SegmentSync software-as-a-service application (the “Service”).

Please read this Privacy Policy carefully. By using the Service, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

We collect information about you, our user, to provide and improve our Service. We do not collect information about your customers.

1.1. Personal Information You Provide to Us

Account Information: When you register for a SegmentSync account, we collect your email address and password.
Payment Information: When you subscribe to a paid plan, our payment processor, Stripe, will collect your payment card information. We do not store or have direct access to your full payment card details.
Communications: If you contact us directly (e.g., via email), we may receive additional information about you such as your name, the contents of your message, and any other information you choose to provide.

1.2. Our Interaction with Your Customer Data

SegmentSync does not access, view, receive, store, or process any Personally Identifiable Information (PII) from your Klaviyo account.

Our Service functions by sending instructions to the Klaviyo API based on your commands. For example, when you choose to sync a segment, our application tells the Klaviyo API to “create a segment with these rules.” Klaviyo then performs this action entirely within its own environment, using the data you store with them.

We never see the list of individuals (e.g., names or emails) who populate the segments you create.
All of your customer data and its processing remains within your Klaviyo account, governed by your agreement with Klaviyo.
You remain the “Data Controller” of your customer data, and Klaviyo acts as your “Data Processor.” SegmentSync is simply a tool you use to manage that processing.

1.3. Information We Collect Automatically

Usage Data: We automatically collect information about how you, our user, access and use our Service. This includes your IP address, browser type, device information, pages visited, and the dates/times of your visits.
Anonymized Segment Data: We may receive anonymized metadata from Klaviyo after a sync is complete, such as the final size of a segment. This data is non-personal and is used for analytics.
Cookies: We use cookies and similar tracking technologies to operate and administer the Service, gather usage data, and improve your experience. We use cookies for essential functions like maintaining your login session.

2. How We Use Your Information

We use the information we collect about you (our user) for the following purposes:

To provide, operate, and maintain our Service.
To manage your account, process payments, and send you related communications.
To respond to your comments, questions, and customer service requests.
To monitor and analyze trends, usage, and activities in connection with our Service to improve it.
To send you marketing and promotional communications about SegmentSync. You may opt out of receiving these at any time.
To enforce our Terms of Service and to comply with legal obligations.

Use of Aggregated & Anonymized Data

We use aggregated and anonymized data (which cannot be used to identify any individual) for analytical purposes. For example, we send non-PII metadata, such as segment sizes and their ratios, to third-party AI platforms like Claude AI for analysis to identify trends and improve the segmenting logic for all users. We never send your personal information or your customer’s PII to these platforms.

3. Data Sharing and Disclosure

We do not sell your personal information. We may share your user information with third-party service providers in the following situations:

Payment Processing: With Stripe, to process your subscription payments.
Cloud Hosting: With cloud infrastructure providers (e.g., AWS, Google Cloud) that host our Service and its data.
Analytics: With analytics services to help us understand and improve the Service.
AI Platforms: With AI platforms for the analysis of aggregated, anonymized data as described above.
Legal Compliance: If required by law, we may disclose your information to comply with a subpoena, court order, or other legal process.

4. Data Security

We implement robust security measures designed to protect the information we store, such as your account credentials. All data transmitted between your browser and our Service is protected using standard SSL/TLS encryption. Access to data within our systems is restricted to authorized personnel. As we never handle your customer PII, the risk of a customer data breach via our Service is eliminated.

5. Data Retention

We will retain your personal account information as long as your account is active or as needed to provide you with the Service. We may also retain your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements. Upon account termination, we will delete your personal information within a commercially reasonable timeframe.

6. Your Data Protection Rights

7. Children’s Privacy

Our Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have, we will take steps to delete such information.
